Can I give someone access for a limited time?

Yes. Anyone can request an app, or a higher permission level, for a set time. When the time is up, Cakewalk starts the removal itself.

Request temporary access

  1. Open the App Catalog and click Get on the app.

  2. Under How long do you need it?, select Temporary.

  3. Enter the duration in days, weeks or months, and add a justification.

To raise your permission level for a while, go to My Apps, select the app and choose Change my permissions. Pick the new level, then set the duration the same way. When the time is up, the level reverts to the previous one and the app access stays.

Approving a temporary request

The review task shows the Requested duration. Approvers can shorten it before approving, but never make it longer. After approval, the request shows the Approved duration and the date the access Expires on.

When the time is up

Within a few hours of the end date, Cakewalk creates a "Remove access" request, or a request that sets the permission level back. It runs through the app's policy like any other request: Agent Cake carries it out where auto provisioning is set up, and someone gets a task everywhere else.

Seeing who has temporary access

The Access duration column in a user's Access table and in an app's Users table shows whether access is permanent or temporary. Hover over the icon to see when it ends.

Good to know

  • App owners always have permanent access to their apps. Someone with temporary access cannot be made the app's owner.

  • If someone with temporary access joins a group that grants the same app, the access usually becomes permanent. Choose Leave access unchanged to keep the end date.
